We are seeking a Finance & Operations Technology Manager to join our growing team. This role is primarily focused on improving how our firm operates—designing smarter systems, implementing automations and technology- and AI-driven workflows, and scaling our administrative and billing infrastructure.
In addition to leading technology implementation efforts, this person will serve as a backup to our billing and financial operations, helping ensure continuity and supporting core finance and business functions as needed.
This is a unique opportunity for someone who enjoys both building efficient systems and understanding the financial engine of a law firm.
Primary Responsibilities
- Design, test, and implement technology-driven (including AI-driven) workflows across billing, collections, reporting, and administrative operations
- Identify and automate repetitive processes (e.g., invoicing, accounts receivable tracking, expense categorization, reporting)
- Evaluate, select, and implement legal tech and financial tools
- Build and document internal systems, templates, and workflows to improve consistency and scalability
- Develop dashboards and reporting tools to provide actionable business insights
- Act as a bridge between operations, finance, and technology to translate business needs into practical solutions
- Continuously research and recommend tools to improve efficiency, accuracy, and firm performance
Additional Responsibilities (Backup Billing & Finance Support)
Additional responsibilities include serving as backup to the firm’s primary billing function, covering the following areas:
- Client billing—including performing the monthly client billing cycle, generating timely invoices that meet client billing requirements, and reviewing and improving the firm’s overall billing structure
- Accounts payable—including daily tracking and weekly reporting, as well as managing billable costs
- Vendor management—including tracking vendor contracts and payment cycles, negotiating renewals, and identifying, negotiating with, and onboarding new vendors
- Serving as the liaison between Biospark team members and vendors on ad hoc requests or client/vendor finance inquiries
About You
We are open to candidates who are eager to grow into this role. Biospark’s ideal candidate is detail-oriented, analytically strong, technologically savvy, and willing to wear multiple hats in a small, entrepreneurial environment.
You ideally have:
- A bachelor’s degree in accounting, finance, information systems, business administration, or a related field
- Two to five years of relevant experience in billing, accounting, budgeting, finance, cost accounting, or cost control, with at least two of those years in a law firm or professional services environment
- Excellent computer skills, including experience with accounting software, Microsoft Office Suite, QuickBooks Online, and accounts payable automation; experience with Clio is a plus
- Knowledge of (or a strong interest in learning and implementing) bookkeeping and accounting best practices
- Demonstrated success implementing process automation, AI tools, or legal technology solutions (e.g., practice management systems, billing software, dashboard tools)
- Familiarity with prompt engineering or working with LLM-based tools in a business context
- Experience building financial dashboards or reports
- A drive to improve processes and increase efficiency through technology (automations, AI tools)
- Ability to analyze workflows, recommend practical improvements, and manage their orderly deployment
- Excellent written communication and documentation skills, with the ability to build systems others can follow
- Prior experience in a small firm or startup environment with a broad scope of responsibilities
- Great attention to detail
- Strong interpersonal skills and the ability to work well with firm leaders, team members, outside consultants, and vendors
- A solid understanding of data security and privacy principles, with the judgment to balance efficiency and automation against the protection of firm and client confidential information
